Online Booking Terms & Conditions

Ensuring a smooth and professional experience at Almond Wellness Centre

Effective Date: 23 June 2025

By booking an appointment online with Almond Wellness Centre (Coburg or Ringwood), you agree to the following Terms and Conditions. These policies allow us to provide high-quality care while respecting the time of all patients and practitioners.

1. General Use of Online Booking

Our online booking system is intended for individuals residing in Australia.

  • By making a booking, you confirm that:
  • The information you provide is accurate and complete
  • You are over 18 years of age, or have consent from a parent or legal guardian
  • You understand that submitting a booking request does not guarantee confirmation

All appointments are subject to review and confirmation by our team.

2. Appointment Types

Initial Consultation is required if:

You are new to Almond Wellness Centre

You are returning after more than 12 months

You are seeking treatment for a new or unrelated health concern

Standard Consultation is for patients continuing care for an existing condition.

If the incorrect appointment type is selected, we may contact you to adjust the booking.

3. Appointment Policy

Arrival Time

For your first visit, please arrive 5–10 minutes early to complete any required intake forms.

Late Arrivals

If you arrive late, your consultation time may be shortened to avoid impacting subsequent patients. The full consultation fee will still apply.

4. Booking Confirmation

All online bookings are subject to confirmation.

You will receive confirmation via email or SMS once your appointment has been reviewed. We reserve the right to contact you to clarify or reschedule if necessary.

5. Fees, Payments & Rebates

All current consultation fees are listed on our Fees & Rebates page.

Payment is due at the time of your appointment unless prepaid.

We accept:

  • EFTPOS
  • Credit and debit cards
  • Cash
  • Eligible private health fund claims via HICAPS

Please bring your physical or digital health fund card to claim on the spot.

Fees are subject to change without notice.

6. Prepayment, Deposits & Credit Card Authorisation

Certain appointments may require a deposit or prepayment, including:

  • Extended consultations
  • Telehealth sessions
  • Counselling appointments
  • Weekend bookings

Where applicable:

  • You may be asked to provide credit card details to secure your booking
  • No charge will be processed unless required or in accordance with our cancellation policy
  • By providing card details, you authorise Almond Wellness Centre to charge applicable cancellation or no-show fees

You will be clearly informed if prepayment is required.

7. Cancellation & Rescheduling Policy

We require a minimum of 24 hours’ notice for cancellations or changes.

  • Late Cancellation (less than 24 hours): A cancellation fee may apply.
  • No-Show: Failure to attend without notice may result in the full consultation fee being charged.

These policies ensure fairness and allow other patients access to appointments.

8. Herbal Medicine Orders

Herbal medicine is prescribed based on your individual consultation and condition.

Orders may include:

  • Raw herbs
  • Granulated powders
  • Patent formulas (pills or capsules)
  • External herbal applications

Payment is required prior to collection or dispatch.

Postage fees may apply for mailed orders.

Due to safety and hygiene regulations:

  • No refunds are provided once herbal products are dispensed, unless required by Australian Consumer Law (e.g. faulty goods).
  • If you experience any adverse reactions, cease use immediately and contact us.

9. Telehealth Consultations

Telehealth (video or phone) consultations are available for eligible services.

Telehealth appointments:

  • Follow the same professional and ethical standards as in-person care
  • Require you to be in a private, safe, and distraction-free environment
  • May not be suitable for all conditions

We may recommend an in-person consultation if clinically necessary.

Herbal prescriptions following telehealth consultations will be posted or made available for collection.

10. Privacy & Personal Information

Your privacy is important to us.

All personal and health information is handled in accordance with:

  • Our Privacy Policy
  • The Health Records Act 2001 (VIC)
  • Australian privacy legislation

We use secure, encrypted booking systems. However, use of online systems and telehealth carries inherent technological risks. By using our services, you accept these risks.

11. Intellectual Property

All website content, including text, images, branding, and educational materials, is the property of Almond Wellness Centre unless otherwise stated.

No content may be reproduced, distributed, or reused without written permission.

12. Third-Party Links

Our website may contain links to third-party websites for informational purposes. We are not responsible for their content, security, or privacy practices.

13. Medical Disclaimer

Online booking is intended for routine appointments only.

If you are experiencing a medical emergency, please call 000 immediately.

Traditional Chinese Medicine, Acupuncture, and Herbal Medicine are complementary healthcare services and do not replace the advice or treatment of your primary medical practitioner.

14. Limitation of Liability

To the extent permitted by law, Almond Wellness Centre is not liable for any loss or damage arising from the use of this website, booking system, or associated services.

15. Jurisdiction

These Terms and Conditions are governed by the laws of Victoria, Australia. Any disputes will be handled within that jurisdiction.
